Scope: Seeking recent college graduate or a person with junior level experience to fill the role of Administrative Support Assistant. The Administrative Support Assistant provides general office support with a variety of clerical activities and related tasks. This is a part-time work assignment with work hours being 0900 to 1630 Monday through Thursday. Total hours worked will not exceed 29 per week.

Functional Duties/Responsibilities:
  • Greet guests, determine nature of business, issue visitor badges and direct visitors to the appropriate personnel, office and/or conference room
  • Maintain and issue visitor badges, controlling access via the front desk (monitor visitor logbook)
  • Receive and deliver telephone messages or transfer calls to voicemail when appropriate personnel are unavailable
  • Answer questions about the organization and provide callers with address, directions, and other information requested
  • Maintain office filing and storage systems
  • Schedule meetings and conference rooms, assist team members with set up, breakdown of coffee/drinks and snacks, and maintenance organization and cleanliness of conference rooms
  • Assist with other duties to include scanning, copying, and organizing/maintaining files
  • Ensure reception area is clean and presentable, organization of supplies/material (eg pens, forms and brochures
  • Other duties as assigned

  • Customer Service - must be able to clearly articulate and understand who the customers are (both internal and external) and identify their needs. Must always provide professional and courteous support to clients/customers.
  • Critical Thinking/Analytical Skills - use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems. Must have strong attention to detail.
  • Communication Skills - demonstrate excellent written and verbal communication skills, including the ability to successfully communicate with the public, employees and vendors.
  • Interpersonal Skills - must work well with others, be a team player, accept projects willingly, be responsible, reliable and dependable. Must have strong listening skills and willingness to understand client expectations and needs.
  • Computer Skills - Excellent typing skills (word processing; 50-60 wpm), high level of proficiency with general office PC applications (ie MS Word, MS Excel, MS Access, MS PowerPoint) and comfort with learning new applications as required.

Minimum Education:
  • Bachelor's Degree in related field

Minimum Experience Requirements:
  • Prior experience handling administrative responsibilities; experience in customer service or related field
  • Proficient with MS office suite of products (MS Word, Excel, PowerPoint, Outlook) and willingness to learn SharePoint and maintain database information
